Legacy members move to modern subscription billing without losing their place

The Ready State

The Ready State runs a subscription membership and app; PeakBeyond planned the migration that linked legacy members and their billing to the new subscription system, and moved the site to managed hosting.

Members whose billing lived outside the system that served them

The Ready State teaches mobility and fitness through a subscription membership site and mobile app, where continuity of access is the product.

Long-standing members were billed through a payment provider rather than the subscription system, so the records that charged them and the records that served them were not the same.

Linking them meant getting dates, addresses and reporting right for real people who would notice immediately if their membership lapsed — across several vendors, none of whom owned the whole picture.

Prove the migration on a copy before touching members

PeakBeyond wrote the import as a staged plan — pull, link, load into a test instance and validate — so the result could be checked before a single live member was affected.

Because several vendors were involved, we ran daily and weekly calls to keep the sequence and the ownership clear rather than letting each work to their own assumptions.

We also prepared the technical scope for the ongoing payment integration, so the arrangement was sustainable after the migration rather than a one-off fix.

A validated migration and a steadier platform

PeakBeyond proved the migration on a copy before touching a single member, and steadied the ground it runs on.

  • Wrote the migration as a staged plan — Pull, link, load into a test instance and validate, so legacy members' dates, addresses and reporting were checked before production.
  • Held the vendors to one sequence — Daily and weekly calls so ownership and order were clear rather than left to each vendor's assumptions.
  • Made the billing arrangement sustainable — Prepared the technical scope for the ongoing payment integration instead of a one-off fix.
  • Moved it to a more reliable home — Coordinated the hosting move and onboarding, with a security scan and the follow-up sessions.

Nothing reached production until it had been validated on a copy, so the members who pay for the service never felt the change.

Members kept their access, and the site kept its uptime

The migration was proved on a test instance before production, so legacy members' dates, addresses and reporting were checked rather than hoped for.

The hosting move completed in November 2021, giving the membership site a more reliable home and a clean security review.

The ongoing payment integration was scoped as a supported arrangement rather than a manual reconciliation.

A membership business changed its billing foundations without interrupting the members who pay for it.

Thanks so much to you and Troy for all your help.
